From January 2026 you can request a booking with us at Burford Quaker Meeting House for your Event, Club meeting or group with our Hallmaster booking system.

Terms and Conditions of Room Hire for 2026 onwards.          January 2026Burford Quaker Meeting House Room Hire is subject to the following Terms: Please read carefully.Bookings can be requested via the Hallmaster Booking on our website http://www.burfordquakers.org.             Your request will be confirmed by a member of the bookings team. Payments are then requested, and    invoices issued, in advance of the booking dates. Charge Times: included are 30 mins for set up and 30 mins for clearing up and departure. The minimum charging period is 2 hours. Cancellations:  Notification of cancellation should be made as soon as possible. Cancellations within a month will be subject ot charge and no refund will be issued.
Burford Quaker Meeting maintains a Public Liability Insurance. This does not cover loss or liability arising from the Hirers activities. Hirers should undertake a risk assessment of their activities in the building and have Public Liability Insurance where appropriate.

Hirers must take full responsibility for Safeguarding of their activities having a policy which demonstrates good practice. Any electrical devices brought in by hirers must have a valid and current PAT certificate.Fire Exits are the Main entrance and the emergency exit from the Library. Fire exits must not be obstructed. Appropriate fire extinguishers are positioned in each room- please familiarize yourself with their locations. It is the group leaders legal responsibility to advise their group of exits and the muster point in Castles Yard.  Wheelchair users must use the Library door and exit via the accessible ramp to the Yard. No alcohol, recreational drugs, smoking, vaping or gambling are permitted on the premises. No notices should be attached to the walls, furniture that is moved should be returned to its original position.
Any accidents must be recorded in the Accident book on the shelf by the emergency exit in Library where the First Aid kit is located.am notified. In Emergency the postcode OX18 4SJ and the what 3 words location can be found on the first aid kit and notices in kitchen and by front door. The Kitchen should only be used for preparing drinks and light refreshments. We recommend hirers put all crockery and utensils used through the dishwasher before leaving. The next hirer will therefore find clean items ready for use.  Any breakages, defects or damage must be notified to the booking clerk immediately.

Cleaning: Please ensure the  whole premises are left clean and tidy for the next hirer. Failure to do so may incur an extra charge. All surfaces must be left clean and tidy. There are cleaning materials, Miele Vacuum and a dustpan and brush in the  hall cupboard  and a carpet sweeper behind the library door.

Heating: During appropriate months the heating will be programmed for Hirers bookings.  Contact Nigel Braithwaite if there are any heating problems.

Final Checks before leaving: Turn off all lights, unplug reading lights, kettles and coffee machine NOT the dishwasher. Check everywhere is tidy. Check all doors and windows are locked. If returning keys to the key safe in the porch make sure the number code is scrambled before closing the cover. Thank you for requesting a booking at the Meeting House– we hope you enjoy your visits.
